For any question about this policy or about your personal data, contact us.

1. What we collect and why

When you enquire through our website

If you complete an enquiry form on our site — for a rental vehicle, a contract lease, or a vehicle for sale — we collect:

  • your name
  • your company name (if given)
  • your telephone number
  • your email address
  • the vehicle you enquired about and the page you enquired from
  • the hire dates or duration you’re interested in (rental enquiries)
  • anything you write in the message field

We use this to respond to your enquiry, to quote for the vehicle or service you asked about, and to keep a record of the conversation.

Lawful basis: taking steps at your request before entering into a contract (Article 6(1)(b) GDPR), and our legitimate interest in responding to business enquiries (Article 6(1)(f)).

When you call or email us

We keep a record of correspondence so we can deal with your enquiry and refer back to it later. Same lawful bases as above.

When you hire, lease or buy a vehicle

To supply a vehicle we need more information, which may include:

  • billing and delivery addresses
  • your driving licence details, and those of any named drivers
  • proof of identity and address
  • insurance details
  • payment or bank details
  • for contract lease, financial information needed to assess the agreement

We use this to enter into and perform our contract with you, to meet our legal obligations as a vehicle rental and leasing business, and to manage our fleet.

Lawful basis: performance of a contract (Article 6(1)(b)), compliance with a legal obligation (Article 6(1)(c)), and our legitimate interests in preventing fraud and protecting our vehicles (Article 6(1)(f)).

When you visit our website

We use cookies and similar technologies to make the site work and, with your consent, to understand how it is used. Full detail is in our Cookie Policy.

With your consent we use Google Analytics to collect information about how visitors use the site — pages viewed, approximate location, device and browser type. This data is aggregated and is not used to identify you personally. If you do not accept statistics cookies, no analytics data is collected.

Lawful basis: your consent (Article 6(1)(a)), which you can withdraw at any time through the cookie settings on our site.

Marketing

If you have given us permission, or if you are an existing customer and the message relates to similar goods or services, we may contact you about our vehicles, offers and services. Every marketing email includes an unsubscribe link, and you can ask us to stop at any time.

Lawful basis: consent, or legitimate interest in marketing to existing customers (soft opt-in under Regulation 13 of S.I. No. 336/2011).

2. What we don't do

We do not sell your personal data. We do not share it with third parties for their own marketing purposes.

3. Who we share your data with

We share personal data only where we need to:

  • Our IT and website providers — hosting, email, form submission storage and website maintenance, who process data on our instructions
  • Google — website analytics, where you have consented to statistics cookies
  • Our insurers, and insurance and claims handlers — where a claim or incident involves a vehicle you hired or leased
  • An Garda Síochána, the Road Safety Authority, local authorities and other public bodies — where we are required by law to identify the driver of a vehicle, for example in relation to a traffic offence, toll or fine
  • Our professional advisers — accountants, auditors and solicitors, where necessary

Where a third party processes data on our behalf, we have a written agreement requiring them to keep it secure and use it only for the purposes we specify.

4. International transfers

Some of our service providers, including Google, may process data outside the European Economic Area. Where that happens, the transfer is protected by the European Commission’s standard contractual clauses or an adequacy decision, so your data receives an equivalent level of protection.

5. How long we keep it

Data Retention
Website enquiries that don’t lead to a hire or sale 24 months from last contact
Customer records, hire and lease agreements 7 years after the end of the agreement, to meet Revenue and accounting obligations
Accounting and tax records 6 years, as required by the Companies Act 2014 and Revenue
Marketing consents Until you withdraw consent, then a suppression record so we don’t contact you again
Website analytics 14 months (Google Analytics default)

We review these periods and delete data we no longer need.

6. Your rights

Under the General Data Protection Regulation and the Data Protection Act 2018 you have the right to:

  • access the personal data we hold about you
  • rectify it if it is inaccurate or incomplete
  • erase it, where we no longer have a reason to keep it
  • restrict how we use it while a question about it is resolved
  • object to processing based on our legitimate interests, and to direct marketing at any time
  • portability — receive data you gave us in a machine-readable format
  • withdraw consent at any time, where our processing is based on consent

To exercise any of these, email rental@danryantruckrental.ie or write to us at the address above. We will respond within one month. There is no charge unless a request is manifestly unfounded or excessive.

If you are unhappy with how we have handled your data, you can complain to the Irish supervisory authority:

We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access, including secure hosting, encrypted connections (HTTPS), access controls and staff training. No transmission over the internet is completely secure, so we cannot guarantee absolute security, but we do take these obligations seriously.
